Walk-ins at the desk

Someone is at the counter and wants to look around now: start their tour in one step, on the deal already on file when there is one.

Walk-in is for a person who comes in without a booking and wants to look around now. It files them as a deal, or finds the deal already on file, and starts a tour that is already under way, marked as arrived.

Where to find it

  • Deals: Walk-in beside New deal. On a phone it is in the More menu.
  • The shortcuts on Today, under Operations.
  • The tour calendar of someone who takes tours: at the top, and in the bar at the bottom on a phone.

Steps

  1. Press Walk-in. The window reads "Someone is at the counter now."
  2. Enter their First name, and a Phone or an Email. Last name is optional. Where your business enrols children, add the Child's first name and Age.
  3. Under What did they ask about?, note what brought them in.
  4. Read the line under the fields: it says where the tour starts and who runs it, such as "Starts now at Pine Ridge, with you." Press Change to pick another location or the person who takes the tour.
  5. Under They agreed to hear from your business, tick Email me about events, programs, offers and updates. or the text box only when they agreed. Leave both empty if they did not.
  6. Press Start the tour. The toast reads "Tour started. Arrived."

When they are already on file

When the phone or email belongs to a deal you have, Already on file? shows that deal before you start, with the line "The tour goes on Maya's record. No new deal is added." Press Start the tour to add the visit to that deal, or It's someone else to file a new deal.

If that deal already has a tour booked, Start is held: open their record and press Arrived on the tour they have. A deal that belongs to another team's location is not named; ask a manager to add the visit.

What you'll see

  • A new deal lands in Tour booked, with the tour started and marked as arrived. A deal on file moves there from New or Contacted, and keeps its stage when it is further along.
  • Nothing is sent to the person: no confirmation, no reminder and no automation. When someone else runs the tour, they get a notice that you are bringing the person to them.
  • A walk-in is not timed for speed to lead, and no one is credited with booking it. Reports list it under Nobody yet.
  • After the tour, record what happened with Outcome, as for any tour. See Mark the outcome.
