Duplicates and linking a deal to a member
How Monody spots the same person twice, how to compare and merge two deals, and the member id from your old system.
The same person can reach you twice: a web form one week and a call the next. Monody checks as each deal arrives, shows what it finds, and leaves the decision to you. It never merges on its own.
When you add a deal
New deal and Walk-in show Already on file? when the details match someone you have: the same email, the same phone, or a similar full name. Open the one it is, or press It's someone new (on a walk-in, It's someone else). See Add a deal by hand.
A web form that checks for duplicates adds the enquiry to the deal already on file instead of making a second one.
On a deal's page
A deal that matches another record shows Possible duplicate at the top, with what matched: Same member ID, Same email or Same phone. A member id or an email is a strong match. A phone alone is a hint, because a household often shares one line.
- Press Compare. Compare records shows the two side by side: name, email, phone, member id, stage, when each was added and its history, with "same" beside what matches.
- For two deals, press Merge leads.
- On Merge duplicate leads, the deal under Keeping stays and the one under Merging away goes. Pick, for each field, the value to keep. To keep the other deal instead, press Keep and its name in Compare.
- Press Merge leads, then Merge to confirm.
The kept deal takes the other's history. The deal merged away goes to the trash, where it can be restored for 30 days. There is no undo button.
A deal flagged as a duplicate when it arrived shows Duplicate in its Details, with what matched. Press Not a duplicate when it is someone else.
The member id
Member ID in a deal's Details holds the number your billing or membership system uses for that person, and the system's name. An administrator adds or changes it. An import fills it from the column mapped to Source id: see Importing from your old system. Two live records cannot hold the same id from the same system.
Linking a deal to a member
When your business keeps its members in Monody, a deal that matches a member shows the member under Compare, with Link to member. Linking keeps the deal's history on the deal, shows the enquiry on the member's record, and starts no enrolment. Unlink on the deal's Member row undoes it.
