Add a deal by hand
For someone who walked in or phoned: who they are, who it's for, and what happens next, one step at a time.
Web forms and imports add their own deals. Use New deal for a person who phoned, or came to you another way. For someone at the counter who wants to look around now, use Walk-in instead: it starts their tour as well. See Walk-ins at the desk.
Steps
- Press New deal on Deals, in Operations on Today, or press N there.
- Under How did they reach us?, pick Walk-in, Phone call or Other. For Other, say where from: Referral, Event, Giveaway, Campaign or Web form.
- Add their name, phone and email. A name, a phone or an email is enough to save.
- If Already on file? appears, someone with the same email, the same phone or a similar full name is already a deal. Check the people it lists. Open the one it is, or press It's someone new. See Duplicates and linking a deal to a member.
- Press Continue at the foot. Where your business enrols children, the next step asks Who is it for?: each child's first name, age and interest, and what they asked about.
- On What happens next?, choose Book a tour or Just save the deal. Assigned to names the owner (you, by default); Change sets another owner, the centre, or tags.
- Press Save and book a tour or Save deal.
What you'll see
- A walk-in or a phone call lands in Contacted, because you already spoke to them, and it is never on the first-call clock. Any other source lands in New and waits for its first call.
- Just save the deal for someone you spoke to files a callback at the team's next sensible time. Change moves it; No callback drops it.
- Save and book a tour opens the tour times straight away. See Book a tour.
- A deal with no phone and no email waits under Needs review until it has one.
- Deals added by hand get no automatic follow-ups.
